Executive Assistant (Fully Remote) – Seed-Stage Venture Capital Fund

About the Role
Our client, a seed-stage venture capital fund, seeks an experienced and proactive Executive Assistant to support their Managing Partner. This high-impact position requires exceptional organizational skills, impeccable communication in both written and spoken English, and the ability to thrive in a fast-paced, dynamic environment.

Your role will ensure the Managing Partner remains focused on strategic priorities by managing calendars, optimizing workflows, and streamlining operational processes.

Key Responsibilities
Executive Support
- Manage the Managing Partner’s calendar, scheduling meetings with portfolio companies, investors, and stakeholders.
- Coordinate travel arrangements, including flights, accommodations, and itineraries.
- Track deadlines and key deliverables to ensure priorities are met.
- Draft, proofread, and format professional correspondence, presentations, and reports.
- Identify opportunities for workflow improvements and proactively address potential challenges.
Operational Support
- Maintain and update the fund’s knowledge base (Google Drive, Notion) alongside the Chief of Staff.
- Support portfolio company onboarding, managing documentation and templates.
- Assist in documenting and optimizing operational processes.
- Track action items and ensure follow-through on internal and external meeting outcomes.
Administrative Management
- Handle expense reporting and reimbursements for the Managing Partner.
- Screen and prioritize incoming communications, responding or delegating as necessary.
- Manage task systems to prevent overlooked responsibilities.
- Anticipate administrative needs and proactively resolve issues.
Portfolio & Event Coordination
- Assist in creating professional communications such as newsletters and reports.
- Plan and coordinate events, including logistics and materials preparation.
- Serve as a liaison between the Managing Partner and portfolio companies, streamlining communication.
- Identify and suggest improvements for communication processes.
