Administrative Officer (Charity Organization) – Shomolu

Job Summary:
Our client, a charity organization, is seeking a dedicated Administrative Officer to provide comprehensive administrative support. The ideal candidate will play a key role in ensuring the smooth operation of the organization’s services and contribute to achieving its objectives. This position is critical to the organization’s day-to-day activities and overall success.
Key Responsibilities:
- Sort, acknowledge, respond to, or redirect incoming mail as appropriate.
- Answer and direct phone calls to the relevant executive council members, ensuring inquiries are handled promptly.
- Organize and coordinate periodic Executive Council and Trustee meetings, including preparing agendas, compiling minutes, and distributing reports in advance.
- Maintain accurate records of non-members’ donations and ensure acknowledgment letters are sent promptly.
- Track members’ monthly donations and follow up with those with outstanding payments in collaboration with the treasurer.
- Keep up-to-date records of regular monthly donations to other organizations and ensure timely deliveries.
- Assist in planning and executing events as directed by the Executive Council.
- Collaborate with the secretary to develop and distribute the monthly newsletter to all members.
- Manage and update the organization’s social media accounts (Twitter, Instagram, Facebook, LinkedIn, YouTube, etc.) and WhatsApp groups.
- Create and publish high-quality content across social media platforms.
- Support the Director of Public and Government Relations in monitoring and posting updates on online forums.
- Assist in developing a social media strategy to ensure consistent messaging and alignment with organizational goals.
- Maintain proactive communication on all assigned social media accounts.
- Stay informed about trends and developments in social media relevant to the organization’s mission.
- Escalate issues or problems to the chairperson or relevant Executive Council members as needed.
- Perform any other duties as assigned by the Executive Council.
Requirements:
- A degree in any discipline.
- Prior experience in charity organizations and social media management is an advantage.
- Proficiency in MS Office (Word, PowerPoint, Excel, Outlook).
- Strong computer literacy, including email, internet, and basic website maintenance.
- Excellent written and verbal communication skills, with the ability to draft clear and concise reports.
- Strong organizational, planning, and problem-solving skills.
- Detail-oriented with a proactive and self-motivated approach.
- Ability to build and maintain positive relationships with stakeholders.
- Passion for the mission and objectives of the organization.
