Job Description/Requirements
Responsibilities:
- Manage both family and business calendars, ensuring no scheduling conflicts.
- Schedule and coordinate appointments, meetings, and calls, prioritizing tasks effectively.
- Filter, respond to, and organize emails, ensuring timely communication.
- Prepare for meetings by setting up virtual links, creating agendas, and organizing necessary documents.
- Manage projects, align on project statuses, and ensure efficient allocation of time.
- Prioritize and handle multiple tasks to meet deadlines.
- Implement time management strategies to enhance productivity.
- Assist in preparing and organizing documents such as contracts, quotes, creative briefs, and presentations.
- Conduct research and assist in booking appointments.
- Coordinate and execute internal events and team activities.
- Maintain strict confidentiality of sensitive information.
- Liaise with internal and external parties to gather information for projects and tasks.
- Organize travel itineraries, including flights, accommodation, and transportation.
Requirements:
- 2+ years of experience as a Personal Assistant or in a similar role.
- High proficiency in Notion for task, project, calendar, and database management.
- Advanced skills in Google Sheets or similar software for creating plans, trackers, and budgets.
- Expertise in creating presentations using PowerPoint, Google Slides, or Keynote.
- Excellent organizational and time-management abilities.
- Experience in the creative business sector is preferred.
- Strong verbal and written communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- High level of discretion and confidentiality.
- Strong problem-solving skills and attention to detail.
