About the Role
As an Executive Assistant, you’ll be the driving force behind WiFi Tribe’s leadership team, enabling them to stay focused on strategic growth while managing key business and personal tasks. You’ll handle everything from scheduling high-stakes meetings to managing travel logistics, ensuring seamless operations that amplify our mission to make remote work more connected, meaningful, and adventurous.
Key Responsibilities
- Email & Communication Management: Filter, organize, and respond to emails and messages, drafting clear communications in the executive’s voice.
- Scheduling & Calendar Management: Optimize schedules, prepare agendas, gather briefing materials, and follow up on action items.
- Travel Logistics: Plan and coordinate itineraries, accommodations, and events for both business and personal travel.
- Task & Deadline Tracking: Stay on top of multiple projects, deadlines, and commitments, ensuring nothing slips through the cracks.
- AI-Powered Efficiency: Leverage tools like ChatGPT to streamline workflows, analyze data, and generate insights.
- Research & Reporting: Conduct rapid research and compile findings into actionable reports, spreadsheets, or dashboards.
- Project Coordination: Oversee deliverables and collaborate with cross-functional teams to meet deadlines.
- Confidentiality & Prioritization: Protect sensitive information and prioritize tasks based on business-critical and personal-urgent goals.
- Process Improvement: Identify operational bottlenecks and propose innovative, tech-forward solutions.
- Relationship Building: Serve as a liaison between departments, external partners, and clients, fostering accountability and alignment.
- Budget & Expense Management: Accurately manage budgets, expense reports, and vendor invoices.
- Event Planning: Organize offsites, retreats, and team events, fostering collaboration and innovation.
- Crisis Management: Tackle unexpected challenges calmly and efficiently.
- Talent Support: Assist with hiring processes, including filtering applications, coordinating interviews, and onboarding new hires.
- Process Documentation: Create and maintain guides and knowledge bases to preserve institutional knowledge.
Must-Have Qualifications
- 3+ years as an Executive Assistant or in a high-level administrative role.
- Flawless organization and attention to detail.
- Strong written and verbal communication skills in English.
- Proficiency with AI tools (e.g., ChatGPT, Claude).
- Tech-savvy with the ability to quickly learn new tools.
- Proactive problem-solving and critical thinking skills.
- Availability to work European/African time zones (10 am–6 pm CET).
Nice-to-Have Skills
- Experience in remote team environments.
- Familiarity with project management tools (e.g., Asana, Trello).
- Knowledge of automation tools (e.g., Zapier).
- Experience with CRM platforms like HubSpot.
- Basic budgeting/accounting skills.
