Job Summary

The Administrative Assistant provides essential support to the country team and consultants engaged in Ipas initiatives. This role is responsible for overseeing office operations, managing supplies and equipment, and handling administrative tasks to ensure efficient daily operations.

Primary Responsibilities

  • Manage front desk operations, including visitor coordination.
  • Oversee the maintenance and servicing of office equipment.
    • Key Success Metrics: Maintenance schedule developed and updated monthly.
  • Ensure the smooth operation of office facilities, including cleaning services, equipment repairs, utilities, and generator management.
    • Key Success Metrics: Cleaning roster maintained and adhered to.
    • Key Success Metrics: Generator usage register created and maintained.
    • Key Success Metrics: Maintenance schedule for office facilities updated monthly.
  • Monitor and manage office vehicle utilization.
    • Key Success Metrics: Quarterly vehicle utilization report prepared and shared.
  • Oversee office supplies and consumables, including stationery and hygiene materials.
    • Key Success Metrics: Monthly inventory requests processed and monitored.
    • Key Success Metrics: Quarterly usage report compiled.
  • Perform additional administrative duties as assigned.

Minimum Requirements

  • Bachelor’s Degree or equivalent.
  • Minimum of 3 years of relevant administrative experience.
  • Strong organizational and communication skills.
  • Proficiency in Microsoft Office Suite.

Salary
