Job Summary: HR and Admin Executive

The HR and Admin Executive is a pivotal role that combines human resource management and administrative responsibilities. This position ensures that the organization operates efficiently by supporting employee needs, maintaining organizational policies, and handling administrative tasks. Reporting directly to the CEO, the HR and Admin Executive collaborates with departmental managers to meet organizational objectives.


Key Responsibilities:

Human Resource Management:

  1. Recruitment and Onboarding
    • Manage the recruitment lifecycle: job postings, interviews, and onboarding.
    • Ensure a smooth transition for new hires by facilitating orientation programs.
  2. Employee Relations
    • Act as a mediator to address grievances and conflicts.
    • Promote a positive workplace culture by fostering open communication.
  3. Performance Management
    • Track employee KPIs and oversee performance appraisals.
    • Support employee growth through constructive feedback mechanisms.
  4. Training and Development
    • Identify training needs across departments.
    • Organize and monitor professional development programs.
  5. Leave and Benefits Administration
    • Manage employee leave schedules and benefits to align with company policies.

Administrative Duties:

  1. Calendar and Schedule Management
    • Coordinate company-wide calendars, client appointments, and internal meetings.
  2. Information and Record Management
    • Take minutes at meetings and distribute memos, emails, and reports accurately.
    • Maintain records of employee data, inventory, and financial documents.
  3. Office Operations
    • Oversee procurement, inventory management, and vendor relations.
    • Ensure office equipment is functional and well-maintained.
  4. Event Planning
    • Organize corporate events, team-building activities, and company meetings.
  5. Policy Development and Compliance
    • Draft, update, and enforce company policies.
    • Ensure adherence to labor laws and organizational standards.

Qualifications and Requirements:

  • Education:
    • Minimum of a university degree in Business Administration, Human Resources, or a related field.
    • PA diploma or certification is an added advantage.
  • Experience:
    • At least 5 years of senior-level experience as an Executive Assistant, Business Administrator, or in a similar role.
  • Skills:
    • Proficiency in MS Office Suite (Word, Excel, PowerPoint).
    • Strong organizational and time management abilities.
    • Familiarity with office gadgets and management software.
    • Exceptional verbal and written communication skills.
    • Demonstrated discretion and the ability to maintain confidentiality.
